    Reception
    • Answer and direct all incoming calls, queries to appropriate staff member promptly and efficiently. Pass any phone messages on either verbally or by e-mail. Check any messages left on night service/out of hours service each morning, switch on and off night service each day.
    • Meet and greet all visitors to the office, with a friendly welcome ensure they sign in and issue them with a visitors pass. Advise them of the layout of the building if unfamiliar with it and advise them of emergency exits from the building and fire muster point.
    • Sign for all incoming parcels and directly pass to staff accordingly.
    • Prepare daily signing in sheets ready each morning and displayed at reception.
    • Keeping meeting rooms clean in tidy and well stocked up with supplies
    • Arrange daily newspaper delivery, milk delivery, window cleaning, recycling to be uplifted etc on a weekly basic.
    • Assist with weekly fire testing on a Monday and report any faults
    • Updating phone lists frequently
    • Deal with all incoming mail, check and distribute to staff. Open all photocopy date stamp and send direct to accounts. All invoices date stamp, ensure manager signs off, photocopy then send original to. File copies in accounts folders.
    • Process all annual leave requests, check with line manager first then arrange an annual leave sheet to be sent from HO, get it approved and send back to HO. Change spreadsheet to reflect annual holiday’s, lieu hours, rig paid days sick days taken. Finalise all individual and the overall holiday spreadsheets.
    • Record any staff sick days taken and issue with self cert sickness form on return then send completed copy to HR dept.
    • Outgoing mail, each day have mail ready for 2pm pick up all checked, weighed and correct postage attached. Record all outgoing mail in book and costs against each item. Go to the post office for any special delivery requirements and to purchase extra stamps for out going mail when required.
    • Booking all taxis on company account and cash hires for staff and clients. Checking all taxi charges on invoices are correct using the taxi bookings spreadsheet. Filter and create spreadsheet for each pick up listed on taxi invoice for billing in HO
    • General administration duties as and when required by office staff, scanning, photocopying, typing correspondence, binding, etc.
