Full Description:
Our Client is a leading facilities management service provider to the Oil and Gas industry, boasting multiple sites across Aberdeen.

 To provide a flexible and professional support services across sites
Receiving calls from customers and logging them on the appropriate
system ensuring the detail given on the ‘job cards’ is clear and
concise.
 Sending ‘job cards’ to the appropriate service delivery team via the
designated printer/email system.
 Ensuring that HSE/business critical requests are dealt with in a
timely manner by the appropriate service delivery team.
 Keeping customers informed on the progress of jobs.
 Logging conference/meeting room booking and ensuring the details are clear, correct and concise.
 Confirmation of customer’s requests/requirements.
 Tracking outstanding jobs on the system and following up with the
appropriate service delivery team.
 Provide a courteous friendly timely service.
 Calling customers to ensure their satisfaction with the service.
 Meeting/greeting customers and announcing visitors
 To provide a professional service delivery to meet customer/clients
expectations.
 Ordering stationary via requests.
 Carry out administration tasks including invoice processing, creation
of purchase orders for Facilities Management department and
provision of monthly reports as required.
 To provide a flexible and professional reception service, which meet t
the requirements of and is fully aligned to the needs of all visitors
and customers.
 Ensuring that all calls to the switchboard are handled quickly,
courteously and efficiently.
 Carry out other clerical and administrative duties as required.
 To ensure that excellent customer care is practiced in a services
excellent manner.
 Actively demonstrate service excellent role model attitudes and
behaviors by displaying an approachable, friendly and helpful
manner to colleagues and customers.
 Liaise with security guards.
 To work as a team member, displaying good attitudes and
behavioral values.
 To attend meetings/training courses as required and follow through
on personal development plans.
Adhere to the agreed processes, procedures and standards for
delivering the reception services.
 Any other reasonable tasks requested by the office services
helpdesk or facilities manager.
