Our client is currently seeking a Business Support Assistant to join their expanding team. This is a fantastic opportunity that has arisen within a wholly owned company, providing asset integrity management and support services to the oil & gas, petrochemical, power, marine and utilities industries worldwide. The position will firstly be based in Altens with a move to Foveran (by Ellon) in the near future.
The main function of the Business Support Assistant will be to coordinate and implement all office functions in accordance with Company procedures and work instructions. Ensuring that the office is efficient and professional. This will be supporting the Business Support Manager. The duties of the role will include: To assist the Business Support Manager on achieving business support objectives. Reception duties include answering telephones and welcoming visitors. Ensuring office equipment/stationary and supplies are readily available. Making sure the office is clean/tidy. Distribution and preparation of incoming.outgoing mail and faxes. General filing duties and scanning. Assisting with preparation of letters/faxes. Update and monitor personnel movement summary board. Processing purchase orders and typing them up with vendor invoices. Logging dates/values. Assisting with monthly accounts duties - sales invoices, credit control, monthly payment runs and petty cash. Booking courses/travel arrangements. Assisting with collating/processing timesheets and holiday forms. Assisting Operations team. Training will be provided in company policies & procedures.
